LabDispatch is currently accessible via invite only. If you have an exisiting organization within the LabDispatch system, contact your organiation administrator to request an invite. Otherwise, send us a support email with details regarding your request for a response within 24 hours.
One of LabDispatch's core principles is to make order creation as simple as possible.Utilize the "New Request" button located in the upper left hand side of the main LabDispatch interface. You will be required to submit basic patient information, including their name and date of birth. You will also be asked to provide basic clinical information, select your authorized orderer, and choose the location for the request to be routed to. (e.g. your local histology lab.) Once these are uploaded, click the next button in the bottom right. On the next screen, you will be prompted to enter a specimen description and select, if known, the relevant test that is being ordered. You can utilize the "search orderables" feature to quickly find the relevant test. Select as many orderables as needed.Once orderables have been selected, you will be prompted to answer test-specific questions if this is requred by the test provider. Otherwise, you will be prompted to submit relevant billing information. Please utilize the document uploading interface to upload any scanned documents that are relevant to the patient or order. Finally, click submit request.Once a request has been submitted it is immediately sent to the selected routing location. Note that the request will remain open to edits only until is qualified by that location.
Once an order has been requested and routed to your location, that request will show up on your main dashboard under the "Requested" page. Click on the request while logged in at the proper location to begin qualification. Here there are fields that can be filled out with any relevant patient information. Test providers have the ability to require certain fields if they are necessary for testing to occur. Click "next," or click on the "specimens & tests" tab at the top to proceed to the next page. Upload the specimen ID as well as the collection date, then confirm that the ordered test is being sent to the proper reference lab for testing.Once this is done, click qualify request. This finalizes the test, sends the order information to the reference laboratory, and allows the specimen to be packaged for shipment. Take extra care to have all information properly submitted because once the order is transmitted to the reference lab it can no longer be edited.
Once an order has been qualified, click on the order and enter back into the dialogue. There will now be a "Shipping and Tracking" tab. Input the specimen type, fill out the label number (if known,) then click "package these."You will now be able to view and print the paper requisition, and input the tracking number for the specimen if provided by the shipping provider. (UPS, FedEx, etc.) Fill out the tracking number, then click "ship package."The case will now be removed from your "requested" tab, and appear within the "dispatched" tab. The receiving lab will also see this order as dispatched and know to be on the lookout to receive it.
Uploading and viewing results fall under the same process. To upload results, once a test has been completed, simply click back into the case. Click on the "results" tab on the right side of the case options, then either click on the + icon or simply drag and drop your results document to upload them directly to the secure database. Once this is completed, the order will automatically be marked as "resulted," and a notification will be sent to the orderer letting them know that results have been submitted and are available for viewing. To view the results as the orderer, simply log back into the LabDispatch system and navigate to the "resulted" page. Click into the order, click on the "results" tab, and click on the uploaded document to view the results in a downloadable or printable format.
